What a Compliant Payslip Must Contain
Requirements differ by country, but a defensible payslip should always identify four things: who (employer and employee identity, including tax identifiers like PAN, SSN, or NI number), when (pay period and payment date), how much (itemised earnings and deductions — a single "salary" line is not enough), and the net amount actually paid. Specific jurisdictions add more:
- India: Payslips should itemise Basic, HRA, and allowances separately because each has different tax treatment, and show PF (with UAN where applicable), ESI, Professional Tax, and TDS deductions. Shops & Establishments Acts in most states require wage slips for covered employees.
- United States: There is no federal payslip mandate, but most states require a written or electronic pay statement showing hours, rate, gross pay, and each deduction. FLSA record-keeping rules still require employers to keep this data even where no statement is mandated.
- United Kingdom: Itemised payslips are a legal right under the Employment Rights Act 1996 — they must show gross pay, variable deductions individually, and net pay, and (since 2019) hours worked where pay varies by time worked.
Common Payslip Mistakes Small Businesses Make
- Lumping allowances into basic pay. In India this inflates PF liability (PF is computed on basic + DA) and destroys the employee's HRA exemption evidence. Keep components separate.
- Not showing employer contributions separately. Employer PF/pension contributions are part of CTC but not deductions from gross — mixing them confuses employees and misstates net pay.
- Missing payment date and period. Loan providers, visa officers, and landlords routinely reject payslips without a clear pay period and issue date.
- Rounding errors that accumulate. Round only the final net figure, not every intermediate line, so year-to-date totals reconcile with annual tax statements.
