Every HR Number You'll Ever Need to Find

Six categories covering the full spectrum of small business HR - from payroll to compliance to people analytics.

Built for Businesses That Don't Have an HR Team

Everything here is designed around the reality of a 5-50 person team, not an enterprise org chart.

No Software to Buy

You shouldn't have to subscribe to an HRIS just to calculate gratuity. Open the calculator, enter two numbers, get your answer. No account, no demo call, no sales follow-up.

Formulas You Can Trust

Every metric follows the recognized standard - SHRM-style recruiting formulas, benchmark-backed analytics, and statutory calculators (like gratuity, PF and TDS for India) built on the actual rules, not generic templates. We track changes so your numbers stay current.

Built for Under 50 Employees

Every default, every assumption, every explanation is calibrated for a small team. No enterprise edge cases cluttering the interface.

Three Steps. No Signup.

How This Site Works

SmallHRTools is a free library of 33 HR and payroll calculators built for businesses too small to have an HR department - typically teams under 50 people. It is not an HRIS, there is nothing to install or sign up for, and no calculator here is a teaser for a paid version. Open a tool like the employee turnover calculator or the in-hand salary calculator, enter your numbers, and read the full breakdown of how the result was reached.

Most of the tools are universal HR metrics that work for any country - (turnover rate, cost per hire, retention, absenteeism, headcount planning and more). Alongside them sits a set of India statutory calculators - PF, ESI, TDS, professional tax, gratuity, HRA - which are clearly labeled, updated when rates or slabs change, and show a visible "Last updated" date so you know what financial year the numbers reflect. Every tool page explains its formula, walks through a worked example, and answers the questions we most often see about that calculation.

The site is built and maintained by Shakti Makvana - you can read about the methodology and update policy on the About page. Longer explainers with worked examples live on the blog. Calculators are estimation aids, not legal advice; for compliance decisions, confirm with a qualified professional.

Common Questions

Most of them work anywhere. HR metrics like turnover rate, cost per hire, retention rate, time to fill/hire, absenteeism, and headcount planning use universal formulas that apply in any country, and tools like the salary-to-hourly calculator and payslip generator support multiple currencies. A smaller set of statutory calculators (PF, ESI, gratuity, TDS, professional tax, HRA) are built around Indian law and are clearly labeled as India-specific on their own pages.
Turnover Rate = (Number of Separations during a period ÷ Average Number of Employees in that period) × 100. For example, 6 exits in a year at an average headcount of 40 gives a 15% annual turnover rate. Our turnover calculator also splits voluntary vs involuntary turnover and estimates the replacement cost.
Cost Per Hire = (Total Internal Costs + Total External Costs) ÷ Number of Hires, per the SHRM/ANSI standard. Internal costs cover recruiter time and referral bonuses; external costs cover job boards, agencies, assessments, and background checks. Most small businesses underestimate it because recruiter and manager time goes untracked.
Yes - completely free, forever. No trial periods, no premium tier, no credit card required. Every calculator on this site is open and accessible to anyone.
No. There is no signup, no login, no email wall of any kind. Open a calculator, enter your numbers, get your result. That's it.
Gross pay is the full amount an employer agrees to pay before any deductions. Take-home (net) pay is what actually lands in the employee's bank account after taxes, social security or retirement contributions, and other withholdings. The exact deductions vary by country - in India, for example, that means PF, TDS, and professional tax, which our in-hand salary calculator models in detail.
